Essential Job Functions: 

  • Ensure all required employment documents are uploaded to HRIS.
  • Work with managers, HRBPs, and payroll to coordinate internal transfers.
  • Update employee data in the HRIS system (e.g., department changes, manager changes, title changes).
  • Handle various administrative duties related to the employee lifecycle.
  • Support recruiters, hiring teams, and candidates through the full recruiting cycle (on-shore, off-shore, employees, contractors, interns).
  • Prepare written communication for separation notices.
  • Manage requisition workflows and approvals in the ATS system.
  • Manage onboarding tasks for candidates with accepted offers (background checks, offer letters, etc.).
  • Respond to all emails and contact through shared mailboxes promptly.
  • Stay updated with labor relations knowledge.
  • Follow data privacy regulations (input, accuracy, access, and reporting).
  • Perform regular data audits and respond to compliance and audit requests.
  • Ensure that operations documentation reflects company culture and works with the creative team to produce impactful content.
  • Provide regular HR reporting and handle ad hoc projects.

Education and Experience: 

  • 0-1 years of experience, ideally in HR or Recruiting operations.
  • A strong interest in making processes more efficient, automating tasks, and boosting productivity.
  • A Bachelor’s degree or a mix of education and work experience.
  • Comfortable managing multiple projects at once, even with different people and deadlines, with minimal supervision.
  • A proactive mindset, always ready to take action and make decisions on your own.
  • Friendly, approachable, and easy to work with.
  • Great communication skills, both written and spoken, with a focus on putting the customer first.
  • Highly detail-oriented, organized, and able to tackle problems quickly, even under pressure.
  • Can work independently with little direction.
  • Familiar with Microsoft Office apps (Outlook, Excel, Word, PowerPoint).
