Job Description for Executive

  • Financial reports, budgets, and forecasts are created and managed.
  • Project expenses are monitored to ensure they stay within the budget, and any differences are identified.
  • Invoices from vendors and subcontractors are reviewed and processed to ensure accuracy and compliance with contracts.
  • Job costs, including labor, materials, and other expenses, are recorded and maintained.
  • Financial reports for construction projects are prepared and reviewed.
  • Financial reports are shared regularly with senior management and project managers.
  • Cost and financial analyses are performed to assist in decision-making.
  • Company policies, legal requirements, and accounting rules are followed.
  • Internal controls are established and maintained to protect company funds and ensure accurate financial reporting.
  • Necessary documents and details are provided for audits.

Job Description for T&D Officer

  • Plan and organise domestic as well as international travel, which encompasses flights, accommodation, transportation, and itineraries.
  • Ensure timely coordination of visa applications, renewals, and other associated documents.
  • As necessary, coordinate with relevant embassies, consulates, and travel agencies.
  • Maintain travel history records along with associated expenses and pertinent documents for efficient retrieval of information.
  • Assist the Chief Executive (CE) in handling routine administrative functions pertaining to his/her office.
  • Collect and compile meeting papers from relevant internal units and arrange for the meetings including all necessary logistics.
  • Manage communication flow including; respond to emails on behalf of the CE’s office alongside managing appointments and calendar scheduling.
  • Draft strategic papers, presentations as well as other official correspondence required by the company or requested by the CE for onward submission to management or external stakeholders.
  • Maintaining an effective filing system makes certain that all relevant information is contained within the files so that key consideration documents are easily retrievable from the system at any time ensuring seamless operations.
  • Handle sensitive matters concerning the organisation with due discretion noting organisational privacy provisions.
  • Assist in company-wide communications between departments at different levels for organized document flow involving external actors needing information beyond their division/department.
  • As appropriate, propose agendas aimed at advancing organisational effectiveness through coherent planning of events alongside collaborating to organise such gatherings when solicited by peers/management thus driving organisational productivity through well-planned meetings/conferences/events.
